CYBERGENE · PERSONAL DATA

Live chat privacy notice

This notice covers messages you send to the Digital Employee on the CyberGene homepage or in the showroom, and the summary you send through the intake form. It does not describe a future customer installation, which would require its own data arrangements.

Before you write

Your message is stored by CyberGene, processed to generate an AI reply, and may be sent to the CyberGene manager through Telegram as a new enquiry. Please do not enter real customer data, health information or trade secrets.

Data controller and contact

The data controller is CyberGene, legally registered as the sole proprietorship of Bilal Ergene (sole proprietorships have no separate legal personality under Turkish law). For questions and requests about your personal data, write to info@cybergene.co.

What we collect and how

When you submit a message, we receive its text, a session identifier, your selected language and the time of the request. The reply and conversation are stored on CyberGene’s server. Standard server access records may also include technical connection details such as an IP address. You provide the message directly through the website.

Purpose and legal basis

We use this information to answer your enquiry, prepare the sample work plan shown in the showroom, keep the conversation available within its session and protect the service from misuse. The legal basis for this visitor-initiated service is the data controller’s legitimate interest under Article 5(2)(f) of Law No. 6698, provided it does not override your fundamental rights and freedoms. Do not submit special-category personal data through the chat.

Who may receive the data

Conversation content is processed by the AI services used to prepare a reply — DeepSeek models (through OpenCode) and, as a backup, Google Gemini — which run on infrastructure outside Türkiye, including countries without an adequacy decision under Article 9 of Law No. 6698. By sending a message, you explicitly consent to this transfer for the sole purpose of generating a reply; if you do not consent, please do not use the chat and contact us by email instead. Enquiries may also be sent to the CyberGene manager through Telegram, together with part of the message and reply. Hosting and technical service providers may process the data to operate the website and chat. Clicking a WhatsApp contact link opens a draft in WhatsApp; you decide whether to send it.

Intake form

What you write in the intake form stays in your own browser until you press “Send to us”. When you do, the summary reaches the CyberGene team by e-mail at info@cybergene.co and is kept in the team’s mailbox, which is hosted by our e-mail service provider. If you choose to send the summary on WhatsApp or from your own mail app instead, you start that transfer yourself. Please do not write your customers’ names, phone numbers, ID or health details in the form. To have a summary deleted, write to us at the address above; the rights listed below apply to the form as well.

A message we send to a business may contain a link with a short code (r=) made for that business. When the link is opened, we record against that code which of our pages was opened, whether a question was asked in the showroom, and when. No cookie is used and no IP address is written to this record; the code is remembered only while that browser tab is open. We do this to see whether our message was useful and to avoid writing to you again without reason (legitimate interest, Article 5(2)(f) of Law No. 6698). These records are kept for at most 12 months. To stop hearing from us or to have the records deleted, write to info@cybergene.co.

Storage period

Conversations are stored on the CyberGene server for at most 12 months from the last message, after which they are deleted or irreversibly anonymised. You may request earlier deletion using the contact address below, subject to any applicable legal obligations.

Your rights

Under Article 11 of Law No. 6698, you may ask whether your data is processed, request information about its use and recipients, ask for correction or deletion where applicable, object to certain automated outcomes and seek compensation for unlawful processing. Send your request to info@cybergene.co. You can read the full list of rights on the Turkish Data Protection Authority website.
